Why automotive events place
particular demands on software

Events in the automotive sector are more complex than conventional event marketing: high guest numbers at trade fairs, safety-critical processes around test drives, parallel rollouts across many locations, and strict requirements for data protection and driving licence checks.

These are the challenges we meet again and again in projects with vehicle manufacturers:

  • Clearly separated audiences at one event: dealers and importers, private and business customers, factory staff and internal teams, VIPs and press each need their own invitation logic and their own quota.

  • Large, predictable visitor flows at trade fairs and market launches: registration and check-in have to hold up reliably even when everyone arrives at once.

  • Test drives with legal obligations: driving licence checks, consent forms and proof of insurance have to be captured digitally and in a legally compliant way, along with the allocation and monitoring of test drive time slots for each vehicle.

Event app for
iOS & Android

You reach guests where they are, with model overviews, a personalised agenda, networking and push notifications. Q&A, live polls and the event feed bring participants into the room, and content stays available without a network connection. On international rollouts the app runs in several languages at once, including a wave-based agenda for rotating workshops in each market.

Wave-based invitations

You run international dealer and market launches from one central market calendar, whatever the number of market contacts. Each market gets its own invitation wave, with its own time slot, its own language and its own participant list.

Check-in app with access control

You check guests in quickly and reliably, even when arrivals peak, and print badges on the spot. Checkpoints in the app also control who takes part in individual programme items such as test drives, workshops or side events. Live visitor numbers and queue lengths stay in view, and check-in keeps working offline.

Test drives and driving experiences

Your guests book their test drive or driving experience online. On site your team checks the licence and proof of insurance, allocates the right vehicle and keeps everything in view in real time, for a single location just as much as for a nationwide test drive tour. Paid formats take guests straight to payment after booking, free test drives skip that step.

Shuttle-Management

You run passenger transport between car parks, exhibition halls and test drive routes from one place, with live tracking and capacity planning. Guests book their ride from their phone, and each ride is matched by vehicle type, availability and capacity. Every journey stays traceable in real time for the organising team and for guests.

Digital signage & displays

You show configurator experiences, vehicle data and live content from the event app on displays at the stand or in the showroom. The critical requirements, and how we solve them


Standard registration systems are not designed for requirements like these. Our platform is built for exactly this.

Wave-based invitation management

Each market contact invites their own participants, into the time slot assigned to them.

Market contacts get their own access, their own participant list and their own quota. Approvals, waiting list moves and cancellations all run through one central calendar that the project team can see at any time. There is no limit on the number of waves.

Multilingual event app

Registration, app and system communication in every market language.

The platform runs in as many languages as there are markets taking part, with no fixed ceiling. Languages are set up once in the project rather than rebuilt market by market, and the registration journey, event app, agenda and automated emails all draw on the same content.

Parallel roadshows

Central control for several dealer locations, local content at each one.

One setup, any number of locations. Corporate design, approval logic and the programme framework come from the centre, while dates, vehicles, slots and capacities are managed by each location. Reporting still comes together in one place.

Rolling agenda in subgroups

Workshop programmes on a multi-day rhythm, for groups that keep changing.

Agenda templates for each wave, automatic allocation of participants to subgroups, and a personalised agenda in the event app. When the programme changes, the push notification goes to the group affected.

Operation across the full run

Weeks of live operation with late registrations, walk-ins, check-in and daily reporting.

We run the platform for the whole series: check-in on site, walk-ins and late registrations captured on the day and assigned to a free slot, rebookings between groups, and daily reports for the manufacturer and for market managers. The check-in app works offline, capturing entries without a network connection and syncing them to the server as soon as it is back. In exhibition halls, plant halls and on test grounds, that is the norm rather than the exception.

Security, data protection and compliance

Legally sound driving licence checks, consent forms and proof of insurance.

Mandatory documents are created during registration, generated and signed in a legally compliant form and assigned to the individual participant. They stay available for as long as there is a legitimate interest, after which the agreed deletion periods apply. Data storage and processing follow the GDPR, hosted on servers in Germany. On top of that come graduated roles and permissions, from the administrator's view down to a single location, which matters most with sensitive guest lists from company boards, politics or public life.

Integration with existing systems

Participant data and metrics in the CRM and analytics setup that marketing and sales already use.

Registration and event app can be connected to existing CRM and ERP systems, Salesforce for example, and to web analytics such as Adobe Analytics. Leads, consents and attendance status flow back into the manufacturer's systems instead of ending up in a spreadsheet for every market.

International sales training for the market launch of a commercial vehicle model

The brief

Launch of a new model across 31 markets and 7 languages. Six weeks of live operation, more than 20 waves with market groups changing daily, four roles in one system, and a clearly limited budget.

The delivery

Registration, invitation control and check-in ran on one platform, alongside an event app covering the full participant journey: preparation and agenda beforehand, orientation and live updates on site, follow-up and feedback afterwards. The programme combined product modules with driving sessions on the circuit. Processes, templates and approval routes were standardised rather than created market by market.

The result
