The challenge
dgtl.ai has been managing registration for the Salzburg Summit on behalf of the Federation of Austrian Industries (IV) since 2025 – initially on the previous registration platform. The Salzburg Summit is a closed, high-profile event with an international focus on politics and business: for the 2026 edition, around 1,300 guests were exclusively invited and pre-assigned to one of three participation groups – conference only, conference plus Get Together, or conference plus Get Together plus Welcome Gala Dinner.
Based on lessons learned from the 2025 edition, dgtl.ai was tasked with building a new registration platform for 2026 that would enable process improvements – from leaner booking flows to the ability to quickly extend the registration journey while registration was already underway.

The approach
Clear quota management with waitlist logic
dgtl.ai designed a multi-step registration wizard that automatically guides each guest through the right booking steps based on their invitation group. All booking options were subject to quotas and allocated on a first-come, first-served basis.
From the guest's perspective, registration was split into four steps. Step 1 captured personal details, including an optional CC contact. Step 2 showed the booking options – summit ticket, Get Together, and gala dinner – each only to the extent that applied to the guest's group: depending on group assignment, more or fewer options were available. All groups eligible to book the Get Together chose between two locations and could join a waitlist if a location was fully booked. Step 3 provided information on the available hotel room allotments, and step 4 allowed optional additional details before completing registration.
Shortly before the event began, dgtl.ai extended the journey to include booking for eight deep-dive sessions. Guests already registered received an email with access to a separate, single-step wizard – including a waitlist option for fully booked deep dives. Guests who only responded to the original invitation or reminder emails at this point were routed directly to the main journey, which was extended with an additional deep-dive booking step.
For guests of sponsor Raiffeisenbank, dgtl.ai added four standalone registration journeys based on the same platform logic. For on-site check-in, dgtl.ai also provided an API connection to GET's check-in solution.

Quota and waitlist management
All booking options, the Get Together locations, and later the deep dives were subject to quotas and ran first-come, first-served; once a quota was exhausted, guests could join a waitlist immediately.
Add-on deep-dive journey
A separate, single-step wizard allowed already registered guests to book eight deep-dive sessions via an email link; newly responding guests were routed to a main journey extended with this step.

Four standalone registration journeys based on the same platform logic are available for guests of sponsor Raiffeisenbank.
Hotel quota information in the wizard
A dedicated step informs guests directly within the registration process about the available room allotments for their hotel booking.
Check-in integration via GET
An API provided by dgtl.ai connects the registration data to GET's check-in solution, so on-site check-in can access the registration data.
Role-based backend access
An event-manager role in the backend provides read-only access to guest and booking status and exports; the TNM team can additionally move guests independently from the waitlist to the gala dinner, Get Togethers, or deep dives, and can overbook the quotas that apply on the frontend at their own discretion, provided extra capacity can be created on site.

Numbers & success factors of the Salzburg Summit
For the Salzburg Summit 2026, the Federation of Austrian Industries invited around 1,300 guests via the registration platform built by dgtl.ai, of whom roughly 650 have confirmed so far. Just one day after deep-dive booking opened, 5 of the 8 sessions offered at the Salzburg Summit 2026 were fully booked, leaving only 38 open spots across the remaining sessions.

Leaner add-on bookings
For bookings launched later, like the deep-dive sessions, a separate single-step wizard is enough – far fewer clicks for guests than going through the full main journey.
Short-notice extensibility
The deep-dive journey could be added shortly before the event without disrupting the ongoing main registration for around 1,300 guests.
Differentiated control by guest group
Three participation groups and four additional Raiffeisenbank journeys can all run in parallel on the same platform logic.
Seamless check-in
Through the API connection to GET, on-site check-in accesses the registration data directly.
Role-based backend control
Unlike in 2025, the backend now offers two clearly separated roles: event managers see status and exports without being able to change data, while the TNM team can independently move guests from the waitlist and overbook quotas on site at their own discretion.
