The challenge

dgtl.ai implemented registration and on-site check-in for the 2026 graduation ceremony of the TUM School of Computation, Information and Technology (TUM CIT) in Garching, on behalf of event agency BLAUEPFERDE GmbH, which conceived, planned, and ran the overall event. Across the two ceremony days for Bachelor's and Master's graduates, a total of 2,928 people checked in using dgtl.ai's registration platform and offline-capable check-in app.

The goal was for graduates to be able to easily book guest tickets for family and friends themselves, and for check-in on the day of the event — despite more than 1,300 and 1,600 attendees respectively — to run without any waiting time. dgtl.ai had already handled registration for TUM CIT in 2025; because that went well, dgtl.ai was brought back on board in 2026, this time with a newly developed registration platform built to put the previous year's learnings directly into practice.

The approach –

two ceremonies, one seamless system

TUM School of CIT celebrates its graduates in two separate ceremonies: the Bachelor's ceremony on July 17, 2026, and the Master's ceremony on July 18, 2026. dgtl.ai set up both ceremonies as standalone events within the registration platform, each with four categories — Informatics, Electrical & Computer Engineering (ECE), Mathematics, and Staff — and a consistent status model running from Invited through Accepted and Confirmed to CheckedIn (plus Declined and Cancelled).

Registration ran in two waves: graduates first confirmed their own attendance, after which guest tickets for companions were released based on the capacity still available. Because seating was limited, the number of guest tickets per graduate was capped as well.

On site, dgtl.ai's check-in app was used: it works offline, recording every check-in locally on the device first and automatically syncing the data with the server as soon as a connection is available — typically in real time, given the stable Wi-Fi on campus. A dgtl.ai team member staffed the helpdesk on-site on both days, working closely with the host and hostess team from Goldloewe GmbH, who ran the check-in area.
